BOOKING PROCEDURES

Lesson and Guide bookings can be made in person at our Furano and Niseko office, via email: info@summitski.jp, over the phone: +81 70 4532 9516 or through Roomboss. All bookings will be a request basis only until they have been confirmed over email or Roomboss.

Backcountry rental equipment bookings are subject to availability and are not guaranteed. Please try to coincide lesson/guide bookings with equipment bookings if both products are required for the best chance of availability. Equipment bookings can not be made through Roomboss. Equipment bookings will be confirmed over email.

PAYMENT OPTIONS & CONDITIONS PAYMENT OPTIONS:

Cash – Cash payments can only be made in our Furano office. These payments must be made prior to or at the start of the day.
Credit Card – Please contact us to pay by credit card. Please note that credit card fees apply and you agree to payment of those fees.

Bank Deposit – Please find details below. BANK DEPOSIT

NOTE – Japan banking regulations require that with all international financial transfers the details of the entity sending the funds must match precisely with the invoiced details. The invoice must be provided to the bank by RedFox GK to prove the transaction. If details do not match the funds will usually be rejected.

NOTE – Please remember that all banking fees and charges must be covered in full when sending any payments to avoid an outstanding balance. All international deposits could incur up to a ¥3000 fee, it is your responsibility to cover this, please add this onto your payment total.

PAYMENT CONDITIONS:

1. Pre-bookings (up to 3 days in advance) – Bookings made up until at least 3 days will be confirmed within 48 hours from Summit via email or whatsapp if booking using one of our other avenues.

For direct Summit bookings you will need to make payment to ensure confirmation. In addition you will be held liable for payment of the service to Summit as per the terms and conditions. You will receive an invoice from Summit in JPY.

SUMMIT SKI SCHOOL & GUIDING

● Full payment is required upon time of booking. Cancellations will incur a 20% non refundable deposit if there are 30+ days prior to the lesson. Please see cancellation terms for more.

2. Last-minute bookings (less than 3 days in advance) – For bookings made less than 3 days in advance, You should contact Summit by phone or email info@summitski.jp And (unless otherwise agreed) must either make payment via our payment platforms or in person. Please notify us at the time of booking or confirm credit card details and pass these details on to us so that we can confirm and hold the booking. For Fenix hotel guests it is possible for payments to be made in our Furano office. You will receive an invoice from Summit in JPY or you will receive a receipt of direct payment.

● Full payment is required upon time of booking. Cancellations will incur a 100% non refundable deposit.

Please see our terms and conditions in order to work in the interest of both parties. Summit aims to be flexible with regards to any previous or new bookings and help accommodate all of our clients giving them peace of mind. Summit are always open to more discussion on bookings and if you have any problems please do not hesitate to contact us info@summitski.jp

CANCELATION POLICY

For all NEW bookings for the ’24-25 season the following terms and conditions apply.

● DEPOSIT:

Lessons and Day guides: A full payment is required upon time of booking. If booking is canceled a 20% deposit will be non-refundable. This deposit is fully transferable till 30 days prior to the start date.

SUMMIT SKI SCHOOL & GUIDING

Multi day tours:

Private tour: A 50% deposit is required upon the time of booking. The outstanding 50% is due 30 days prior to the booking start date. If booking is canceled a 30% deposit will be non-refundable. Once a tour has commenced from the date specified 100% is non refundable.

Group Tour: An initial deposit of ¥250,000 yen per person is required to secure your place and then the remainder will be calculated and invoiced 30 days prior to booking. If booking is canceled the ¥250,000 deposit will be non-refundable.

● CANCELLATION BY THE TRAVELER:
– 30 plus days prior to booking date commencement – deposit will be forfeited but

transferable to a later date or the next season
– 8 – 29 days prior to booking commencement – 50% of total booking value will be forfeited
– Up to 7 days prior to booking commencement – total booking value will be forfeited

COVID-19 CANCELLATION POLICY:

If a travel ban is in effect restricting travel to Japan or to and from your home country or if it is mandatory to quarantine either upon arrival into Japan for 3 or more days in the following terms and conditions will apply:

● Up to 60 days prior to your start date:
– 100% of payments made are transferable to the following year.
– For cancellations you can receive a refund less 20% of the total booking (this amount can be reclaimed in the form of a credit on a future booking)

● 30 – 59 days prior to your start date:
– 50% of payments made are transferable to the following year.

– For cancellations you can receive a refund less 50% of the total booking

● Less than 30 days prior your start date:
– 25% of payments made are transferable to the following year.
– For cancellations you can receive a refund less 75% of the total booking

● Back-to-back cancellations: If we are holding only a deposit and are forced to cancel your booking two seasons in a row, that amount will become entirely non-refundable and non-transferable.

RIGHTS RESERVED:

We reserve the right to cancel bookings at any time due to unsettling political, social or environmental events, in which case the same transfer/refund options we’re offering for COVID will apply.

EXCLUSIONS:

We cannot offer refunds for missed reservations, early departures, inclement weather/extreme avalanche danger, snow conditions, or force majeure events beyond the COVID-19 pandemic, and are not responsible for additional expenses incurred in preparing for the trip (e.g. airline tickets, visa application fees, equipment purchases, etc).

CANCELLATIONS BY SUMMIT SKI SCHOOL & GUIDING:

Summit Ski School & Guiding reserves the right to cancel any guided or instructional day before it is confirmed to run or due to circumstances beyond our control. If this occurs, you will be given the option of changing to another guided or instructional day if available or receiving a full refund. Summit is not responsible for any incidental expense agents or participants have incurred as a result of your booking. If an alternative guided or instructional day is chosen and it is at a lower value than the original booked guided or instructional day Summit will refund the difference. If the alternative guided or instructional day is of a higher value, then you will pay the difference in price.

SUMMIT SKI SCHOOL & GUIDING

GUIDE OR INSTRUCTOR / PARTICIPANT RATIO:

Summit lessons are 1:4 ratio. Instructors can take up to a maximum of 6 participants for an extra ¥15,000 per extra person. Guided days are strictly 1:5 ratio. For additional participants a tail guide will be added to the group, the price for a tail guide will incur extra charges. The maximum for 1 guided group is 2:8 ratio

PARTICIPANT AGREEMENT FORM:

A Participant Agreement form is required for each person booked to a guided or instructional day. For group bookings, it is the responsibility of the person, whose name holds the booking, to ensure that each member of their group has read and understands the participant agreement form. The person whose name holds the booking takes full responsibility for the group in agreement with terms and conditions as well as the participant agreement form, regardless if the participant form has been signed or not. Participant agreement forms are preferably filled in prior to a guided or instructional day or completed before first lift on the day of the booking. If the customer fails to sign the participant form then the customer confirms that their payment will be recognised and counted as agreement and confirmation of all details within participant form as well as confirmation for the terms and conditions.

REFUNDS:

If you are eligible for a refund once a booking has been canceled, the balance less any non-refundable amounts & cancellation fees will be forwarded to you within 2-6 weeks.

CUSTOMER BOOKING AND LESSON TERMS

1. Payment for the lesson constitutes acceptance of our terms and conditions; you and the participants who are named on the lesson bookings agree that

snowboarding and skiing are hazardous sports. Summit and employees cannot be held liable for any lost or stolen equipment, cancellations, accident, injury, or injury resulting in death that occurs before, during or after your lesson.

  1. Lift passes are obligatory and are not included in the price. They are required for all lifts in all resorts.

  2. Please arrive with your Snowsports gear and lift ticket ready to use.

  3. Payment for all lessons and tours must be made in full prior to the start of the

    lesson.

  4. Lessons and tours will not be extended or rescheduled due to the late arrival of the

    guest for any reason.

  5. No compensation can be made for weather, snow or other operational conditions

    outside of the control of Summit.

  6. To be eligible for any refund due to sickness or injury you must present a valid local

    medical certificate from a local practitioner.

1. We must have been advised prior to the commencement of your lesson.
2. We must receive the medical certificate within 24 hours of the lesson start

time.

  1. You must have and you agree that you do have valid Travel Insurance which covers

    you for accident or injury while skiing.

  2. All lessons are fixed to the lesson location accepted at the time of booking. If the

    client would like to change the location of the lesson, this will be subject to availability.

    Private Lessons

  1. Private Lessons can be transferred with at least 24 hours’ notice to another person subject to availability.

  2. All Full Day lessons have a flexible start time between 8:30 am and 10:30 am.

  3. All lessons must meet at the private lesson meeting area as indicated at the time of

    booking.

  4. All participants must be of the same or similar ability level and must be on the same

    equipment (No ski and board mixed privates).

  5. Mixed aged privates with children under 6 years will be subject to manager

    approval

  6. Summit will only provide privates to children under the age of 3 years in a one on

    one environment.

SUMMIT SKI SCHOOL & GUIDING

  1. Full Day Private Lessons are for 6 continuous hours and must take a minimum of 30 minutes’ break during the day at a time of your choice. Lunch is not provided.

  2. You can request a specific instructor however we cannot guarantee that we will be

    able to accommodate your request.

  3. If you select privates over multiple days which have differing start times or rest

    days, we can not guarantee the same instructor to the bookings.
